Yacht maintenance app: what captains and managers need

End of season in Antibes. The chief engineer who has done three summers on board signs off for good: new contract, bigger boat, better package. In a two-hour handover he passes on perhaps 10 % of what he knows — the hydraulic workshop that answers the phone on a Sunday in Palma, the transfer pump that was modified after a failure in 2023, the exact part number of the seal the yard never has in stock. The rest walks down the passerelle with him, in his head and in his notebooks. A yacht maintenance app exists first and foremost for this: so that the vessel's technical memory belongs to the vessel, not to whoever happens to be leaving.

On a yacht the standard is not seaworthiness — it is a flawless condition that can be demonstrated: to the owner, to the management company, to the flag surveyor, to the broker when the boat comes up for sale. And everything conspires against that demonstration: crews that turn over in a matter of seasons, owners who change management companies, refits carried out thousands of miles from the home port, a Mediterranean season followed by an Atlantic crossing followed by the Caribbean.

What is a yacht maintenance app?

A yacht maintenance app is planned maintenance system (PMS) software adapted to the way a yacht or superyacht actually operates: it holds the full equipment registry, schedules preventive tasks by running hours or by calendar, records every job with its costs and photos, manages spare parts inventory and tracks certificate expiry dates. Unlike a spreadsheet or a generic industrial CMMS, it works offline on phones and tablets, and its history stays with the vessel through every change of crew or management company.

That is the short definition. The rest of this article unpacks what it means in practice for a captain, a chief engineer or a fleet manager at a management company — because the real requirements of yachting are not written in a sales brochure, they are written in the daily grind of a charter season. Crew turnover, the real adversary of yacht maintenance

In merchant shipping, an operator keeps its officers for decades. In yachting, average tenure is measured in seasons: crew recruitment surveys consistently put a typical engagement at between one and two years, often less in junior positions. Every handover without a structured system costs the vessel:

  • Supplier contacts: the reliable hydraulics shop in Genoa, the electronics engineer who knows the installation, the chandler who delivers to the marina on a Saturday.
  • Live warranties: dates, scope, conditions — a manufacturer's warranty never invoked is an invoice paid twice.
  • The history of modifications: why that circuit was re-routed, why that pump is no longer the original, what has already been tried on that recurring air-conditioning fault.
  • The fine settings: set-point pressures, clearances, torque values specific to this particular vessel.
  • The real schedule: what was done, and what was deferred "until the next yard period" and never written down.

The answer comes in two building blocks. First, a complete equipment registry, with a record for every asset: make, model, serial number, documentation, associated spares, and the history of every job ever done on it. Second, written maintenance job plans that describe the procedure, the tools and the checkpoints for each task — this is how know-how survives the departure of the person who held it, as we set out in our article on the maintenance job plan on board.

The test is simple: if a new chief engineer joins tomorrow morning, how many days until he is effective? With a complete history in the app, the answer is counted in days. With ring binders and the bosun's memory, it is counted in months — and the first season is spent rediscovering what the boat already knew.

The owner's report, ready on Friday

A yacht is probably the most expensive asset to run that its owner possesses: the orders of magnitude commonly quoted in the industry put annual operating costs at around 10 % of the vessel's value. At that level of spend, the owner — or their family office — expects a precise account, and a management company quite literally lives by the quality of its reporting: what was spent, on what, why, and what is coming next quarter.

Hand-built reporting, reconstructed at month-end from invoices and recollection, costs the captain days of work and does not stand up well to questions. Industrialised reporting flows from the daily entries:

  • Every work order carries its cost: parts consumed, hours logged, outside contractors.
  • Every purchase carries its approval trail: requested on board, approved by management, allocated to a budget line.
  • Every expense is broken down by equipment and by category — engineering, deck, interior, safety, onboard IT.
  • Before-and-after photos document actual condition and justify the work better than ten lines of text.

The monthly report then assembles itself as an extract, and it survives scrutiny from a family office because every line traces back to a recorded job. The same data set feeds next year's maintenance budget, refit provisions included. And on the day the yacht is sold, a complete, time-stamped maintenance history bears directly on the price: any broker will tell you plainly that two identical vessels are not worth the same money depending on whether their technical past is demonstrable or merely asserted.

Refit budgets and yard periods: where it is all decided

The refit is to yachting what the drydocking is to commercial shipping: the densest and most expensive period in the vessel's life, where a schedule overrun is paid for in extra yard weeks and the following charter season can end up amputated. A refit is prepared months in advance, and the yacht maintenance app is the tool of that preparation:

  • The worklist builds itself all year: every defect spotted in season and deferred is recorded with its photos, instead of being rediscovered on the hard.
  • Quotes attach to work items, so yards can be compared on an identical scope.
  • Class survey due dates are aligned with the yard window: hull, shaft and machinery items grouped to avoid a second haul-out.
  • Parts orders go out early, on supplier lead times rather than by courier — on a refit, avoidable emergency freight can run to tens of thousands of euros.
  • Actuals are tracked against budget line by line, week by week, so trade-offs are made during the yard period rather than after it.

Flag, class and crew compliance — without the binder

A commercially operated yacht — chartering under a Red Ensign Group flag and the REG Yacht Code, under the French International Register (RIF) or an equivalent registry — carries real obligations: class certificates and periodical surveys, flag certificates, the commercial yacht code applicable to its tonnage, MLC 2006 for the crew, and for the larger units the ISM Code with its documentation. Port State Control can board in Palma just as easily as in Fort-de-France or Antigua, and commercial yachts are not exempt from Paris MoU inspections.

The difficulty is not the complexity of any single obligation — it is their dispersion: dozens of expiry dates, carried by the vessel and by each crew member, that rarely fall at a convenient point in the season.

The golden rule: one single expiry list, with alerts at 90, 60 and 30 days, covering the vessel's documents and every crew member's at the same time. That is exactly what a certificates module does, coupled with tracking of crew certificates under STCW and MLC 2006. The operational objective is simple: July and August must hold no administrative surprises, because everything that expired in season was dealt with in April. What the word "app" has to mean on board a yacht

On a yacht, a tool wins or loses adoption in the first week. The crew is young, demanding about interfaces, and has zero patience for software that looks like the 2000s. But ergonomics are only the surface: the real criteria are operational.

Offline, genuinely

The engine room of a 40-metre yacht is a Faraday cage, the anchorage in the Exumas has no 4G, and the yard's Wi-Fi is saturated. A yacht maintenance app has to work fully offline — browsing history, raising work orders, taking photos, issuing parts from stock — with a synchronisation queue that clears the moment the network returns. The photo as working language

A yacht crew photographs everything: it is the culture. The app has to turn that into an asset — a photo when the defect is raised, a photo at close-out, photos attached to the equipment and findable three years later. For the owner's report as much as for a warranty dispute with a yard, a time-stamped photo is worth any written account.

Never ask for the same information twice

The stock issue feeds the budget valuation; the hour logged feeds the work order cost; the running-hours reading triggers the hour-based tasks. One entry, several uses. Multilingual and multi-profile

A yacht crew is international; the captain, the chief engineer, the mate, the interior team and shore-side management need neither the same permissions nor the same screens. Why not a well-kept spreadsheet?

Because a well-kept spreadsheet is a spreadsheet kept by someone — and that someone signs off.
